1. Introduction

At Xibnarexvorlaxen, we want you to be completely satisfied with your experience. This Return Policy outlines our procedures for cancellations, refunds, and exchanges for our workshop bookings and any products purchased through our services.

We understand that plans can change, and we strive to be as flexible as possible while maintaining fair policies for all our customers. Please read this policy carefully before making a booking or purchase.

2. Workshop Bookings

Workshop bookings represent a commitment of our resources, including instructor time, materials, and studio space. Our cancellation policy reflects the need to manage these commitments fairly while providing flexibility to our customers.

2.1 Cancellation by Customer

If you need to cancel your workshop booking, the following refund policy applies:

  • More than 14 days before the workshop: Full refund of the booking amount
  • 7-14 days before the workshop: 75% refund or full credit for a future workshop
  • 3-7 days before the workshop: 50% refund or full credit for a future workshop
  • Less than 3 days before the workshop: No refund, but credit may be offered at our discretion
  • No-show without notice: No refund or credit

To cancel a booking, please contact us by phone or email as soon as possible. Cancellation requests must be made during our business hours and will be processed based on the date and time we receive your request.

2.2 Rescheduling

We understand that flexibility is important. If you need to reschedule your workshop, please note the following:

  • Rescheduling requests made more than 48 hours before the workshop are free of charge, subject to availability
  • Rescheduling requests made less than 48 hours before the workshop may incur a £10 administration fee
  • Workshops can only be rescheduled once without incurring additional fees
  • Rescheduled workshops must take place within 3 months of the original booking date

2.3 Cancellation by Xibnarexvorlaxen

In rare circumstances, we may need to cancel a workshop due to unforeseen events such as instructor illness, severe weather, or other emergency situations. If we cancel a workshop:

  • We will notify you as soon as possible via email and phone
  • You will receive a full refund or the option to rebook at another date
  • If you choose to rebook, you will have priority booking for available sessions
  • We will not be liable for any additional costs you may have incurred, such as travel expenses

3. Credit Notes

In lieu of a cash refund, we may offer credit notes for future workshops. Credit notes:

  • Are valid for 12 months from the date of issue
  • Can be used for any workshop of equal or lesser value
  • Cannot be exchanged for cash
  • Are transferable to friends or family members
  • If used for a workshop of lesser value, the difference will not be refunded

4. Gift Vouchers

If you have purchased a gift voucher and wish to request a refund:

  • Unused and unredeemed gift vouchers can be refunded within 14 days of purchase for a full refund
  • Partially used gift vouchers cannot be refunded
  • Gift vouchers are valid for 12 months from the date of purchase
  • Expired gift vouchers cannot be refunded or extended

5. Workshop Materials and Take-Home Items

All workshop fees include the cost of materials used during the session. Participants keep any items they create during the workshop, subject to the following:

  • Items created during workshops are not eligible for return or exchange
  • For pottery workshops, items must be collected within 30 days of the workshop date
  • We are not responsible for items left uncollected beyond 30 days
  • Items damaged during the firing process will be assessed individually, and alternative solutions offered where possible

6. Special Circumstances

We recognise that exceptional circumstances may arise that are beyond your control. In such cases, we will consider refund or credit requests on a case-by-case basis. Examples of special circumstances include:

  • Serious illness or hospitalisation (medical documentation may be required)
  • Bereavement of immediate family members
  • Significant travel disruptions due to strikes, severe weather, or other force majeure events
  • Government-imposed restrictions affecting your ability to attend

To request consideration for special circumstances, please contact us with relevant documentation as soon as possible.

7. Group Bookings

Group bookings have special terms due to the larger commitment of resources:

  • Groups of 6 or more participants require a 50% deposit at the time of booking
  • The remaining balance is due 7 days before the workshop date
  • Cancellations of group bookings must be made at least 14 days in advance for any refund
  • Reduction in group size less than 7 days before the workshop will not result in a partial refund
  • Substitution of participants is permitted at any time before the workshop

8. Private and Corporate Events

Private and corporate event bookings are subject to separate terms agreed upon at the time of booking. Generally:

  • A deposit of 50% is required to secure the booking
  • Full payment is due 14 days before the event
  • Cancellations made more than 30 days before the event receive a full refund minus the deposit
  • Cancellations made 14-30 days before the event receive a 50% refund
  • Cancellations made less than 14 days before the event are not eligible for refund

9. Refund Process

Once a refund is approved, you can expect the following:

  • Refunds are processed within 5-7 business days of approval
  • Refunds will be issued to the original payment method used for the booking
  • Credit card refunds may take an additional 5-10 business days to appear on your statement
  • You will receive email confirmation when your refund has been processed

10. Disputes

If you believe your refund request has been unfairly denied or you have concerns about our handling of your case, please contact us directly. We are committed to resolving disputes fairly and will review your case thoroughly.

If we are unable to reach a satisfactory resolution, you may have the right to pursue alternative dispute resolution or seek advice from consumer protection organisations.

11. Changes to This Policy

We reserve the right to modify this Return Policy at any time. Changes will be effective immediately upon posting to our website. The policy applicable to your booking is the version in effect at the time of your booking.

We encourage you to review this policy periodically for any changes. Your continued use of our services following the posting of changes constitutes your acceptance of such changes.
